Converting from POP to IMAP Watching your quotas when using IMAP
IMAP is a mail download protocol which allows you to keep folders on the server and access these folders from multiple computers. This is great for users who don't use just one computer to check their email. IMAP downloads a local copy of your mailbox and folders from the server to the computer you are connecting from. If you create folders on your computer, you will have to sync up with the server in order to make it accessible globally. However, you're not required to create folders. You can work with just one mailbox/ inbox, if you like.
- From the Tools menu, choose Accounts...
- Click Add->Mail....
- Type in your name in the Display Name box. (e.g. Arthur Dent)
- Click Next
- In E-mail address textbox, type in your-DECF-email@newton.berkeley.edu (e.g. adent@newton.berkeley.edu)
- Click Next.
- In the "Email Server Names" window, fill in the following: My incoming mail server is: IMAP Incoming mail server: maxwell.berkeley.edu Outoing mail server: - If you are on campus, using campus HIP/SHIP, or DECF modem pool, set as maxwell.berkeley.edu - If you are using AOL, Earthlink, Pacbell, AtHome, or other ISP's, set as your-isp-mail-server (e.g., mail.pacbell.com) - If you are off campus and want to use Outgoing Mail Relay, set as relay.decf.berkeley.edu. (see Outgoing Mail Relay for more info.)
- Click Next
- In the "Internet Mail Logon" window, fill in the following: Account Name: your-DECF-username (e.g., adent) Password: your-DECF-password Remember Password: Check if you are the only person who uses this computer and you do not want to type in your password each time. Uncheck to prevent other users from accessing your account.
- Click Next.
- Click Finish.
- Now click on the account you just created. (e.g. maxwell.berkeley.edu)
- Click on Advanced tab, under the Incoming Mail (IMAP) Check This server requires a secure connection (SSL). DO NOT check it for Outgoing Mail.
- Click on IMAP tab. Under Root Folder Patch, type in mail/ (DECF IMAP users: do not use "newtonhome/mail").
- Click OK
- Making sure that maxwell.berkeley.edu is selected, click Set as Default.
- Click Close
- Check mail, enter your DECF password when prompted. Note: this is not the same as your APOP password. If you don't remember your DECF password, go see a lab staff during their Office Hours.
- In order to see all your mailboxes/folders, you must "subscribe" to them. Right click on maxwell.berkeley.edu and select IMAP Folders. Click on Query. Select all the folders you want to "subscribe" to and click Subscribe.
- You can go ahead and delete the old server setting if everything works and you see all your mailboxes and INBOX. If you're converting from POP/IMAP, read the next section first before you remove the old server setting.
- Some people may get the message that the server cannot verify the certificate. You will need to install the certificate into IE. Open up Internet Explorer, go to https://maxwell.berkeley.edu, when a Security Alert pops up, click on View Certificate, then Install Certificate. Follow the steps to install maxwell.berkeley.edu's certificate.
In Outlook Express, the Folders list (left pane) contains all the mail servers you've configured. The "server" labeled "Local Folders" can be thought of as your local hard drive. It contains all the mail you downloaded via POP. The section labeled maxwell.berkeley.edu is your IMAP server drive. Therefore, it is important that you know where you are going to create any new mail folders. If the new mail folder is under "Local Mail", then it's a local folder and will not be accessible from another computer via IMAP.
If you're migrating from POP to IMAP AND you DID NOT leave your mail on the server, you may want to transfer existing Local Mailboxes to the IMAP server. This will allow you to see the contents of these mailboxes when accessing mail from other machines. If you always check mail from one machine, you do not have to do this.
Transfering Local MailboxesCreate a new mailbox on the IMAP server. Right click on maxwell.berkeley.edu and select New Folder .Enter the name of the new mailbox, for example OldMail. The name of the mailbox you are creating may be the same name of the mailbox on the local hard drive. You do not have to create the INBOX folder since that is a default folder. Open the local mailbox (the one under "Local Folders") and mark all of the messages by using the Select All feature from the Edit menu. Drag and drop the messages into the new folder you have created. All messages are moved to the mailbox on the IMAP server. Note: The transfer may take some time depending on the number and size of messages being transferred. Verify that the procedure has completed successfully by opening the newly created mailbox under maxwell.berkeley.edu Repeat for all mailboxes you wish to transfer.
